Receptionist

Job Role:
Receptionist working at the main front desk of a multi-occupancy building and we look after
the reception of four blocks. Performing a variety of administrative tasks daily. Greeting and
assisting guests, looking after the Front Desk that includes logging maintenance jobs,
registering attendees to the events and dealing with different enquiries from the
occupiers. This job requires someone who is keen on engaging with customers face-to-face,
over the phone and via email. An outgoing individual who enjoys taking part at the events
and carrying out operational duties on the day of the event. The right person would have
great customer service skills, good communication skills and the capability of leasing with
different Teams.
Necessary Operational Skills:
Job knowledge, computer literate, office experience, customer service focused,
administrative and result orientated, able to multi-task and manage
workload effectively to meet deadlines. The knowledge and/or experience in the events
industry and an understanding of the social media platforms, such as Instagram and
Facebook are a bonus.
Duties:
- Deliver a customer-focused reception service by greeting guests as soon as they arrive. Be extra vigilant as you aren’t always able to see all guests entering the building.
- Ensure the reception areas are tidy and presentable. Follow the check list provided that needs to be completed in the morning.
- Registering guests using the designated document and directing visitors to the waiting area or lifts and sent to the correct floor. Guidelines must be followed as per each floor’s instructions.
- Answer and transfer incoming calls.
- Dealing with the Front Desk email using Outlook.
- Dealing with the Reception emails using Outlook.
- At the beginning of the shift, check the calendar to see the daily viewings and Landlord’s visits that have been booked for the day.
- Check the locations of the Fitness Classes taking place on the day, using the calendar.
- Check the email the Security send daily to see who the First Aider on duty is.
- Use Axiom to re-activate the Occupiers passes
- Leasing with couriers, registering them and directing them to the correct floor.
- Recording the handover in the appropriate email and send it to all receptions at the end of your shift.
- The Break Cover has the duty to check that everyone is in and if not, notify the Manager and open the block.
- Assisting with the events operations on the day the event is taking place.
- Undertake extra events tasks, such as preparing the decorations for Valentine’s Day, painting the Easter Eggs and writing the messages for the charity Christmas Tree.
- To ensure co-operation and helpfulness with all other departments.
- Focus on results, demonstrated by the personal drive for achievement in agreeing and meeting goals and objectives.
- Enhance and improve skills & knowledge by training & development benefiting ourselves, all staff, and our customers.
- Having the willingness of working in a different block on daily basis
- Occasionally assisting the Manager with the Support Team Members trainings.
- All guidelines and procedures you will be able to find on the reception hard drive.
Necessary Interpersonal Skills:
The ability to communicate effectively with all key stakeholders & partners including colleagues, staff, clients, suppliers, and customers in a multi-directional process.
